Donor Relations Coordinator

Position Overview: The Donor Relations Coordinator will report to the Director of Development and manage donor relationships and assist with fundraising efforts. This role requires a highly organized and creative individual who can manage multiple tasks and maintain positive relationships with donors, vendors, and volunteers.

Essential Duties and Responsibilities:

  • Database and Administrative Management:

    • Maintain and manage donor databases, donor data hygiene, and accurate donor giving information.

    • Record, deposit, and reconcile donations.

    • Ensure compliance with foundation policies and procedures.

    • Provide general administrative support, such as filing and preparing mailings, assisting with financial reporting, and constituent pipeline, pledge tracking, and forecasting.  

  • Donor Stewardship and Communication:

    • Develop and implement donor recognition and stewardship plans.

    • Prepare and distribute regular donor communications.

    • Handle donor inquiries and provide customer service.

    • Assist with creating donor-focused content for marketing. 

  • Event Coordination:

    • Assist with coordinating logistics for fundraising special events.

    • Assist with event setup, cleanup and volunteer support.

    • Provide concierge-style services for auction items.

  • Fundraising Support:

    • Assist with annual giving, fundraising appeals, development-related marketing campaigns, and grant writing and reporting.

    • Prospect new fundraising opportunities and draft grant proposals.

    • Maintain government grant files and documentation.

    • Oversee legacy interest logs, distribute planned giving materials, and record interest forms.

    • Help develop and implement strategies for acquiring new donors.

    • Oversee a ‘book of business’ containing all donors under $999; work to steward and grow existing donors and volunteers, target new donors through events and marketing, and oversee monthly giving.

    • Track and report donor engagement metrics. 

  • Relationship Building:

    • Cultivate relationships with donors, prospects and volunteers.

    • Collaborate with other staff to achieve fundraising goals.

    • Support leadership in their donor-related activities.
       

Qualifications:

  • Minimum of 2 years of experience in development, customer services or a related role.

  • Strong organizational and project management skills.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple tasks and meet deadlines.

  • Proficiency with Microsoft Office Suites (Word, Excel, PowerPoint).

  • Familiarity with donor management software or CRM systems.

  • Excellent organizational skills and attention to detail.

  • Experience with auction system management software and email marketing tools (Constant Contact) is preferred.

  • Creative thinker with strong problem-solving skills.

  • Passion for animal welfare and the mission of the Pet Resource Center of Kansas City.

  • Must have a current drivers license and own form of transportation.

Our Offer:

  • Pay is $45,000/salary

  • Schedule: Monday - Friday 8am - 4:30pm, occasional evenings/weekends for events
