Special Event Coordinator
Position Overview: The Special Event Coordinator will report to the Director of Development and coordinate and manage fundraising events. This role requires a highly organized and creative individual who can manage multiple tasks and maintain positive relationships with donors, vendors, and volunteers.
Essential Duties and Responsibilities:
- 
	Fundraising Event Coordination: - 
		Ensure all necessary supplies are available for events. 
- 
		Procure live and silent auction items, as well as raffle items. 
- 
		Pick up or coordinate the pick up of all auction and raffle items. 
- 
		Manage and execute events as well as coordinate with vendors and volunteers. 
- 
		Handle event follow-up, including payments and thank-you notes to vendors, volunteers, and donors. 
- 
		Create new fundraising events and opportunities as needed. 
- 
		Assist with bringing in attendees to our annual gala. 
 
- 
		
- 
	Monthly Event Coordination: - 
		Independently coordinate various monthly events to fundraise and engage donors outside of our major annual event. 
- 
		Find venues and partners to host small fundraising events or information tables. 
 
- 
		
- 
	Marketing Collaboration: - 
		Work with the marketing director to strategically highlight events on social media and in newsletters. 
- 
		Assist with event related marketing tasks as needed by the Marketing Director. 
 
- 
		
- 
	Vendor and Volunteer Relations: - 
		Establish and maintain positive relationships with vendors and event volunteers. 
 
- 
		
- 
	Donor Communication: - 
		Write meaningful thank you cards or letters as needed (unless otherwise stated). 
- 
		Bring in new donors and supporters at events through networking. 
 
- 
		
- 
	Database Management: - 
		Input all auction items and even information into the auction database. 
 
- 
		
- 
	Assist with Clinic Duties: - 
		Help the clinic when needed in running pets and assisting with mobile or large collaborative events. 
 
- 
		
Qualifications:
- 
	Minimum of 2 years of experience in event planning, marketing, or a related role. 
- 
	Strong organizational and project management skills. 
- 
	Excellent written and verbal communication skills. 
- 
	Ability to manage multiple tasks and meet deadlines. 
- 
	Experience with auction system management softwares. 
- 
	Creative thinker with strong problem-solving skills. 
- 
	Passion for animal welfare and the mission of the Pet Resource Center of Kansas City. 
- 
	Must have a current drivers license and own form of transportation. 
Our Offer

	Pay is $45,000/salary 
- 
	Schedule- Monday - Friday 8am - 4:30pm, occasional evenings/weekends for events 
-
