Operations Manager

Position:          Operations Manager
FLSA:               Exempt
Reports to: Director of Finance & Administration
Hours:              Full-time, 40 hours per week
Mon-Fri, occasional evening or weekend work, as needed
Rate: $52,500-$56,000 annually
Benefits: Health benefits package includes employer paid medical, dental, vision, life, long-term disability insurance, EAP, and 403(b) retirement plan option.
Time off: Four PTO days usable at start, two weeks of vacation accrued during first year increasing to three weeks at year two.
Paid holidays: Holidays include New Year’s Day, Martin Luther King Jr. Day, Memorial Day, Juneteenth, Fourth of July, Labor Day, Thanksgiving and the day after, and the week between Christmas and New Year’s.

Position Summary:
 
The Operations Manager provides comprehensive support in Cultivate KC’s HR functions such as payroll, employee benefits, recruitment, new employee orientation, on/off-boarding, record keeping and the development and administration of HR policies and procedures. The Operations Manager also oversees general office operations, including phone and email communications with the public as well as financial duties.
 
Essential Functions & Responsibilities
 
Human Resource Management responsibilities:
  • Manage Payroll
    • Prepare and submit payroll bi-weekly with accuracy.
    • Communicate with payroll firm regarding any questions or concerns that might arise.
    • Manage employee training and communications in online payroll software, currently iSolved.
  • Employee benefits
    • Manage communications with insurance brokerage firm regarding insurance policies and open enrollment process.
    • Manage open enrollment process.
    • Field employee questions related to insurance and paid time off.
    • Manage employer responsibilities for 403(b) plan
  • Develop and implement HR processes and procedures that align with the values of Cultivate Kansas City.
  • Ensure job descriptions are up to date and compliant with all local, state and federal regulations.
  • Manage the updating and distribution process of the personnel policy handbook.
  • Manage job postings, applicant communications, and applicant materials for open positions.
  • Manage onboarding process for each employee, including the collection of all necessary forms and information. Also, manage employee training in iSolved and personnel policies.
  • Manage offboarding process for each employee, including exit interviews, when applicable, communications regarding final payroll, benefits and contact information, and the retrieval of equipment. Manage termination of benefits. 
Office responsibilities:
  • Be responsible for main phone line/voicemail and fielding general inquiries via email.
  • Receive and process mail.
  • Record and process payments, including bank deposits.
  • Liaise with office facility regarding building access and general inquiries.
  • Plan and implement a CKC internal calendar.
  • Assist in providing technical support for phones and employee workstations.
  • Manage scheduling and communications for staff meetings
  • Assist with organizational events, as needed.
  • Assist with bulk order and seed store data compilation.
  • Purchase supplies for Cultivate KC offices and manage inventory.  
Placement Criteria
  • Minimum three years of general administrative assistant experience, including three years of HR administration experience, is strongly preferred.
  • Degree in Human Resource Management preferred; or a combination of education and experience normally represented by a bachelor’s degree in HR or related field
  • Ability to prioritize tasks, manage multiple priorities, and meet deadlines with an attention to detail.
  • Strong communication skills with diverse audiences, including farmers, customers, partners, staff, and board members.
  • Self-directed and able to work independently with minimal supervision.
  • Proficient in computer use and adaptable to learning new software.
  • Team-oriented, collaborative, and eager to learn from others.
  • Must have valid driver’s license and clean driving record; personal car insurance and reliable vehicle required.  
Physical Demands
 
This job is performed in an office environment and requires the ability to sit at a computer terminal for an extended period. Must be able to work well with others and demonstrate effective listening. Must be able to operate standard office equipment and keyboards. Also, must have the ability to walk short distances, and/or drive a vehicle to deliver or pick up materials no more than ten pounds.
 
Work Location
 
This position is based out of Cultivate KC’s main office at 4049 Pennsylvania Ave, Suite #206,
KCMO 64111. Local travel is required. Some work can be performed remotely; guidance will be provided after hiring.
