Position Title: Secretary of the Board of Directors

Overview of GIFTS TLC:

The mission of GIFTS TLC is to support NICU parents by providing resources to alleviate their financial burden, allowing them to focus on their infant's recovery. The organization envisions a future where preemie care is readily accessible, and parents receive both financial and emotional support. GIFTS TLC aims to create a positive and encouraging experience for parents in need, fostering a commitment to enrich and advocate for diverse backgrounds. Additionally, the organization provides care packages to offer relief and support during the stressful time spent in the Neonatal Intensive Care Unit.


Role Description:
The Secretary of Gifts TLC serves as a crucial member of the volunteer Board of Directors, responsible for facilitating communication, documentation, and administrative tasks to support the organization's mission and objectives. This position plays a vital role in maintaining accurate records, organizing meetings, and ensuring effective communication among board members and stakeholders.


Responsibilities


Meeting Coordination and Documentation:

  • Schedule and coordinate board meetings, including preparing agendas, distributing materials, and arranging meeting logistics.
  • Record accurate minutes of board meetings, capturing key discussions, decisions, and action items.
  • Maintain organized and accessible records of meeting minutes, resolutions, and other board-related documents.


Communication and Correspondence:

  • Serve as the primary point of contact for board-related inquiries and correspondence.
  • Facilitate communication between board members, committees, and external stakeholders, ensuring timely and effective dissemination of information.
  • Draft and distribute official correspondence, announcements, and reports on behalf of the organization as directed by the Board or Executive Director.


Recordkeeping and Compliance:

  • Maintain up-to-date records of board membership, including contact information, terms of office, and attendance.
  • Ensure compliance with legal and regulatory requirements for nonprofit organizations, including filing annual reports and maintaining corporate records.
  • Assist with the preparation and distribution of board-related materials for annual meetings, elections, and other governance activities.


Committee Support:

  • Provide administrative support to board committees, including scheduling meetings, preparing agendas, and documenting proceedings.
  • Assist committee chairs in coordinating activities, tracking action items, and communicating outcomes to the Board.


Strategic Planning and Organizational Support:

  • Collaborate with the Board and Executive Director to support strategic planning initiatives, including goal setting, performance monitoring, and evaluation.
  • Assist with special projects, research, and administrative tasks as assigned by the Board or Executive Director to advance the organization's mission and objectives.


Qualifications:

  • Strong organizational and administrative skills, with attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to effectively communicate with diverse stakeholders.
  • Proficiency in Microsoft Office suite and experience with meeting scheduling and minute-taking software/tools.
  • Commitment to the mission and values of Gifts TLC, demonstrating integrity, empathy, and a passion for supporting families in need.
