Communications Coordinator-Projects and Events

RESPONSIBILITIES

The Coordinator - Projects and Events provides project and event coordination support to advance the Foundation’s vision and priorities. This role focuses on execution and logistics, ensuring projects and sponsorships are delivered smoothly, on time, and in alignment with Foundation standards.
 
The coordinator works under the direction of the Senior Manager - Brand and collaborates with Foundation teams and external partners to bring communications projects to life.
 
Specific Responsibilities Include:
 
  • Coordinate Strategic Communications projects and events from planning through completion, ensuring all tasks, timelines, and logistics are executed effectively.
  • Support the development and tracking of project timelines, budgets, and deliverables, escalating risks or challenges to the Senior Manager.
  • Assist with project-specific communication plans and ensure updates are shared with stakeholders in a timely manner.
  • Work closely with Foundation colleagues and contracted vendors to support events, sponsorships, and communications initiatives.
  • Provide logistical support for events, including scheduling, vendor coordination, collateral preparation, and on-site execution.
  • Prepare project documentation, updates, and reports for the Senior Manager.
  • Track sponsorship deliverables to ensure commitments are met and documented.
  • Contribute to post-project evaluations and lessons learned for continuous improvement.
  • Support other communications team priorities and special assignments as needed.
  • Represent the Foundation with professionalism at internal and external events.
 
 
EDUCATION AND EXPERIENCE
 
Education: Bachelor’s degree in communications, public relations, marketing, project management, or related field; or equivalent experience.
 
Work Experience: At least one year of experience in communications, events, or project coordination, with demonstrated ability to handle multiple projects.   
 
Travel: This position may require occasional business travel.

  • Has the ability to communicate clearly and professionally in writing and verbally.
  • Has experience working with cross-functional teams and external vendors.
  • Demonstrates problem-solving skills with a solutions-oriented mindset.
  • Has the ability to maintain composure in dynamic or high-pressure situations.
  • Is comfortable working in a fast-paced environment of feedback, revision, and flexibility.
  • Possesses a passion for “doing what’s right,” with unquestioned integrity, positive ethics and values reflective of the Kauffman Foundation.
  • Has strong computer literacy skills, including word processing, spreadsheets, and database applications and platforms including Event Brite, EventMobi, and Zoom.
